Bookings

Bookings are not final until payment is received in full. We do NOT offer refunds, extensions, or transfers. By attending a virtual class you are agreeing to our waiver and release terms as shown before online booking. This includes agreeing to the class recording. By attending an in studio class you agreeing to the same waiver and release terms as shown before online booking including acknowledges that although strict measures are being taken by Ecole de Pole Cleveland to prevent the spread of COVID-19, attending classes at Ecole de Pole Cleveland could result in COVID-19 infection. 

Class Levels

Class Pre-Requisites are clearly defined in class descriptions and are a safety issue. If you do not have previous pole experience, you must book Pole Beginner/Elementary first. If you have previous experience please make sure you understand the pre-requisites before booking and contact the studio for further clarity. If you are participating in a class you are clearly not ready for, you will be asked to leave without a refund. EDP Staff will notify students when they are able to take a higher level class and members will receive a new level wristband. Students can also contact the studio to request more information on how to get prepared to level up. If you sign up for a class when you haven’t leveled up, you will be removed from the class, possibly without notice, will not be allowed to attend, and it will be treated as a No Show.

 

Cancellations, Tardy, and No Shows:

All policies are firmly held with NO EXCEPTIONS.

 

CLASSES:

CANCELLATION POLICY

Early Cancellation: Early cancellation is canceling a class up to 24 hours before the class start time. There is no penalty for this cancellation and you can reuse your class credit during the allotted expiration time. We do not accept any cancellations over the phone outside of business hours. If you’d like to cancel outside of our business hours you must use the MindBody App or our website. Voicemails and text messages are NOT accepted for cancellations.

Late Cancellation: Late canceling is canceling a class within 24 hours of class start time up until an hour before class begins. If you late cancel, you will lose that class credit. Any cancellation that occurs within an hour of class start time is considered a No-Show and will be treated as such. If you are on an Unlimited Package or Membership, you will incur a $10 fee for late canceling.

NO-SHOW POLICY

A No-Show is canceling within 1 hour of class start time or not showing up for the class. Students who No-Show or do not attend due to illness, injury, pregnancy, personal or professional commitments, traffic, construction, or unforeseen circumstances without providing notice, will lose that class credit and incur a $10 fee. If you are on an Unlimited Package or Membership, you will incur a $45 fee, the full session Drop-In rate.

TARDY POLICY

The warm-up and conditioning exercises are integral parts of our classes. Arriving late not only interrupts the class but can put you at a higher risk of injury. Students who arrive after class has started (between 1-5 minutes late) will be marked tardy. Though there isn’t a fee associated with being tardy, the studio reserves the right to deny service or implement a fee for students who are repeatedly tardy.

If you are more than 5 minutes late to class, you will not be able to attend. NO EXCEPTIONS. The class will be treated as a No-Show, which means the class credit will be forfeited and you will incur a $10 fee, or if you are on an Unlimited Package or Membership, you will incur a $45 fee. This policy does not apply to open pole/aerial.

WAITLIST POLICY

If you are on the waitlist and are added to class, it is considered a booking. All Late Cancel and No Show Policies apply. You can remove yourself from the waitlist at any time for no charge; please do so if you cannot attend the class or you cannot make it to the studio in time for the class. 

MINIMUM ATTENDANCE POLICY

All classes must have at least 3 students on the roster in order to run. Any class with 2 students or less signed up an hour before class start time will be canceled. If you are signed up for the class you will receive a call and /or text message notification and will be able to use your class credit during the allotted expiration time.

 

WORKSHOPS:

CANCELLATION POLICY

Early Cancellation: Early cancellation is canceling a workshop up to 24 hours before the start time. There is no penalty for this cancellation and you can reuse your workshop credit during the allotted expiration time. We do not accept any cancellations over the phone outside of business hours. If you’d like to cancel outside of our business hours you must use the MindBody App or our website. Voicemails and text messages are NOT accepted for cancellations.

Late Cancellation: Late canceling is canceling a Workshop within 24 hours of start time up until an hour before the workshop begins. If you late cancel, you will lose that workshop credit. Any cancellation that occurs within an hour of workshop start time is considered a No-Show and will be treated as such.

Students who No-Show or do not attend due to illness, injury, pregnancy, personal or professional commitments, traffic, construction, or unforeseen circumstances without providing notice, will lose that workshop credit and incur a $10 fee.

If you are on an Unlimited Package or Membership, you will incur a $29 fee, the full Open Pole Drop-In session rate.

TARDY POLICY

Doors stay open during Open Pole and Open Aerial sessions and students can enter at any time. However, the session end time is fixed and cannot be extended.

WAITLIST POLICY

If you are on the waitlist and are added to a session, it is considered a booking. All Late Cancel and No Show Policies apply. You can remove yourself from the waitlist at any time for no charge; please do so if you cannot attend the session or you cannot make it to the studio in time for the session.

 

PRIVATE SESSIONS:

If you’d like to cancel outside of our business hours you must use the MindBody App or our website. Voicemails and text messages are NOT accepted for cancellations.

Students who no show or do not attend due to illness, injury, pregnancy, personal or professional commitments, or unforeseen circumstances without providing notice, do not have the right to credits or transfers and will incur a $50 No-Show fee.

TARDY POLICY

EDP reserves the right to cancel your session with no refund if you are over 20 minutes past session start time which would treat the session as a No-Show.

 

PARTIES:

CANCELLATION POLICY

There is no penalty for this cancellation and you can reuse your session credit during the allotted expiration time. We do not accept any cancellations over the phone outside of business hours. If you’d like to cancel outside of our business hours you must use the MindBody App or our website. Voicemails and text messages are NOT accepted for cancellations.

Late Cancellation: Late canceling is canceling a party within 48 hours of the start time up until an hour before the session begins. If you late cancel you will forfeit your deposit. A new deposit would be required to reschedule the party, even if it was originally scheduled that same day.

NO SHOW POLICY

A No-Show is canceling within 1 hour of session start time or not showing up for the session. Students who no show or do not attend due to illness, injury, pregnancy, personal or professional commitments, traffic, construction, or unforeseen circumstances without providing notice, do not have the right to credits or transfers and will incur a $50 No-Show fee.

TARDY POLICY

EDP reserves the right to cancel your session with no refund if you are over 20 minutes past session start time and the session will be treated as a No-Show.

 

Memberships and Contracts

Memberships and contract terms and conditions can be found in the contract given upon agreement date or via email.

Cancellation or Termination of your Membership:

Please see your membership agreement terms and conditions for specific information regarding your cancellation fees. Cancellations or changes to your membership must be submitted in writing, by email to the studio or at the front desk 30 days prior to cancellation date. Please submit this cancellation form as well.

 

Changes and Cancellations by Us

While every effort is made to ensure that your course/ class/ retreat or workshops commences as planned, Ecole de Pole reserves the right to cancel or revise any course time or instructor as necessary. If a class is cancelled, students will be notified and if no reasonable alternative class can be found for the same week, we will extend your payment option by an additional week. Every effort will be made to find an alternative class in lieu of any cancelled session.  Refunds on Pole Camps will be offered only in cases of death or permanent incapacitating injury. Illness/ dance/ accidental injuries or work commitments will not warrant a refund on Pole Camps.

 

Shop Purchases

Please refer to our online SHIPPING & RETURNS information for full details of delivery information and policy on refunds and returns for merchandise and shop items. In studio items and sales are FINAL. No refunds or exchanges.

 

Copyright

All coursework, class and workshop material including choreography, routines, class formats, and written materials of any such kind relating to Ecole de Pole, as well as course descriptions from our web site, newsletters and written summaries of course routines, remain the property of Ecole de Pole, and may not be forwarded, copied or reproduced in any way, physical or written, or performed outside of the studio, without prior consent from the studio owner. Students may not video the class or content unless expressly given permission by an instructor. At NO TIME may a student live stream class content.

 

Website and Quote Descriptions

All website and quote descriptions are made in good faith and every care is taken to ensure their accuracy and is always confirmed by email. However, errors may occasionally occur. We cannot accept any liability for any errors or omissions if we are not notified immediately upon receipt of the email confirmation. We reserve the right to make changes to and correct errors in our website and quotes at any time.

 

Online Security

Shopping on our site is safe! Our order processing system uses 128 bit High-grade encryption, so that when you provide us with any personal information including your name, address, e-mail, it is processed over a secure connection on secure servers. We use Secure Socket Layers (SSL) to encrypt all information you provide before sending it to our servers. SSL is the industry standard and the best software available for secure eCommerce transactions. To protect your financial information and to combat against Identity fraud, we use Paypal and Optimal Payments.

 

Health and Safety

Before taking part in any physical activity with us at Ecole de Pole, all students are required to complete a client information sheet and sign a disclaimer.
If you have doubts about your physical well-being or know that you are pregnant, please inform your instructor before engaging in any type of activity. If you are booking on behalf of a group, please check with all your guests and advise of any injuries or if anyone is pregnant. They will be required to sign a disclaimer on site before commencing the class. You must correctly follow instructions given by our instructors at all times and failure to do so may result in instruction being stopped without recourse.

 

Smoke, Jewelry, & Gum Free Policy

Ecole de Pole insists on a smoke-free environment both for the health of our staff and guests. For personal hygiene, and to avoid risk of choking gum is forbidden during all classes. For the safety of the students and the equipment ALL JEWELRY MUST BE REMOVED before attending a class.

 

Behavior

We reserve the right to terminate your arrangements with us WITHOUT refund if your behavior or that of any members in the booking is likely in our opinion to cause distress, damage, danger, or to annoy customers, other members of the party, employees, property or anyone else. Such behavior includes, but is not limited to, sarcastic remarks, cursing/swearing, becoming irate or raising one’s voice, belittling, demeaning, interjecting, threats or posturing, incessantly messaging to the point of harassment, and general cattiness. If, during your time at our place of business, you publicly demean, attack, or vilify the business, we reserve the right to terminate services WITHOUT refund. If you arrive for lessons or parties clearly under the influence of alcohol or drugs you will not be permitted to attend your session and will not receive any refund or extension.
